Choose promotional staff for the actual task

Promotional teams represent the brand face to face. Tasks may include welcoming guests, explaining a promotion, distributing samples or assisting with registration. We define responsibilities and working conditions before discussing headcount.

Product promotions require confident explanation; event support requires clear communication and organisation. Language needs, relevant experience and activity requirements are part of the brief. We confirm suitable team availability for the requested dates and locations.

Briefing and team coordination

A useful briefing covers the product, audience, promotional rules and questions that should be referred to the brand contact. Approved materials, dress requirements, working hours and venue contacts need to be ready before delivery.

Longer campaigns also require shift planning, breaks and a clear coordination arrangement. We specify whether the scope includes personnel only or a coordinator as well. Attendance confirmation and procedures for handling changes are agreed in advance.

What affects promotional staffing costs?

Headcount, days, hours, city and responsibilities determine the proposal. Language skills, specialist preparation, travel and multi-location requirements may affect the scope. Clothing, campaign materials and equipment should also be allocated to the responsible party.

Please include preparation and closing time, not just public event hours. An existing running order helps us account for briefing, material collection and handover at the end of the shift.

Working with your agency or event organiser

Our team can support a brand’s own event or join an agency-led project. We agree who communicates changes and who handles products, equipment and venue arrangements so staff receive consistent instructions.

Reporting can include completed work, photographs and observations from customer conversations. Our portfolio includes Van Graaf promotional staffing and Bandai Namco event support. For a wider scope, combine staffing with an in-store promotion or sampling campaign.
