Promotional events built around the product
A promotional event gives people a reason to test a product, ask questions or participate in an activity. Formats include launches, demonstrations, brand zones at larger events and retail experiences. We start with the objective and intended audience before choosing the delivery elements.
The running order should explain how a visitor moves from initial interest to the product experience. We define staff roles, activity duration and guest communication. Support can cover a specific part of an existing concept or a wider agreed preparation scope.
Roadshows and mobile activations
A roadshow takes a shared concept between locations. The schedule needs to include travel, setup, material delivery and closing time as well as the public-facing programme. Consistent instructions help teams present the brand across successive stops.
We need the proposed route, dates, space and technical requirements to scope the work. Equipment and venue arrangements are assigned to the responsible parties. Our archive includes Tchibo sampling with a branded bus; the equipment for every new campaign is agreed separately.

The scope can include the schedule, registration assistance, participant communication, promotional teams and supplier coordination. Technical production and specialist activities need explicit agreement so the brand, venue and IQ Promotions know their responsibilities.
When joining a larger event, we need its operating rules, setup schedule and organiser contact. Outdoor plans should also address weather-related changes. These decisions belong in the brief before participants arrive.
Budget and post-event reporting
Format, duration, venue, staffing and production determine the budget. Roadshow distance and stop numbers add further considerations. An indicative budget helps focus the programme on the experience that matters most.
We agree reporting around the team’s role, such as completed activities, participant interaction and photographs. Our Bandai Namco example covers tournament registration assistance and on-site support. The report is tied to the agreed work rather than unsupported claims about campaign impact.
